How a Loan Moves Through BrokerVA's Five Roles: A Broker's Walkthrough

How a Loan Moves Through BrokerVA's Five Roles

A loan moves through BrokerVA's five roles in order: Setup before underwriting, Disclosure for compliance, Closing from clear to close, Funding through disbursement, and Post-Closing for delivery and audit. At each handoff you provide a few things, a specialist returns finished work, and licensed decisions stay with you.

How Does It Work Overall?

As part of our guide to Filipino virtual assistants for mortgage brokers, here is how the roles fit together. Each is a specialist for one stage, so the person handling your disclosures or your funding packages does that work every day. We have 150+ mortgage operations specialists, and we may be able to tailor roles to your business. Most brokerages start with one stage, the one that costs them the most time, and add others as they go.

Two things hold across all five. Accountability for the loan stays with you and your licensed people, and credit decisions stay with the lender's underwriters. And every client has a dedicated Coach who learns your processes, workflows, SOPs, and expectations, so each handoff follows your way of working, not a generic one.

Stage 1, Setup (Pre-Underwriting): What Happens?

Setup supports the early stages of the loan and gets the file ready for underwriting submission.

  • You provide: the application and borrower documents, access to your loan origination system and lender portals, your lock and pricing information where pricing support is needed, and your standards for what "complete" means.
  • Setup returns: a file reviewed for completeness, the loan registered through the lender portal, loan data moved between systems, AUS findings run, initial Loan Estimates, fee worksheets, and disclosure packages prepared, and disclosure completion monitored, with signed documents uploaded for underwriting submission.
  • Stays with you: quoting, structuring the loan, advising the borrower, and your final review before anything is submitted, in line with your process.

Stage 2, Disclosure (Compliance): What Happens When Something Changes?

Disclosure manages Change of Circumstance requests and redisclosures as the file evolves.

  • You provide: the reason for any change in fees, lock, program, or a borrower request, and supporting documentation.
  • Disclosure returns: loan files reviewed for valid COC requests, revised Loan Estimates and Closing Disclosures prepared and issued, fee, lock, program, and borrower-requested changes monitored, and redisclosures delivered and documented within regulatory timelines.
  • Stays with you: deciding what the borrower and lender have agreed, and confirming with your compliance advisor how the rules apply to you.

This stage is worth getting right. ICE Mortgage Technology's study of nearly 90,000 loans found fee cures on more than one in three loans, averaging $1,225 per loan in cures and related expenses. ICE sells fee-management software, and the study is from 2024.

What Happens During Underwriting?

That part belongs to the lender. The lender's underwriters make the credit decision, and the file moves forward as conditions are satisfied. Our roles sit around that step: Setup prepares the file for submission, and Disclosure keeps disclosures current as the file changes. Where you want help beyond our core roles, we may be able to tailor one to your business.

Stage 3, Closing (Clear to Close): What Happens?

Closing coordinates the final details so the loan can move efficiently from clear to close through funding.

  • You provide: the clear-to-close status, your title company contacts, and scheduling preferences.
  • Closing returns: Closing Disclosures balanced with title companies, tolerance cures reviewed, final Closing Disclosures prepared and issued, closings coordinated and scheduled, and closing conditions confirmed as completed before funding.
  • Stays with you: the borrower relationship, and decisions on any cure or discrepancy that affects the deal.

The Closing Disclosure has to reach the borrower at least three business days before closing, so late reconciliation matters. Confirm with your compliance advisor what a later change triggers.

Stage 4, Funding (Disbursement): What Happens?

Funding supports the funding process through final reviews, wire coordination, and warehouse submissions.

  • You provide: the closing package, your warehouse bank's requirements, and who in your office authorizes funding.
  • Funding returns: finalized loan packages reviewed for completeness and accuracy, wire summaries prepared and final figures verified, figures balanced with title companies before disbursement, documents submitted to warehouse banks for approval, and wire transfers coordinated with the funding authorization issued.
  • Stays with you: your wire verification step. Calling a number you already trust to verify instructions has to happen when someone on your side can make that call.

Stage 5, Post-Closing (Delivery and Audit): What Happens After the Loan Funds?

Post-Closing supports delivery, conditions, and audit readiness.

  • You provide: your naming and filing standards, investor delivery requirements, and any investor conditions received.
  • Post-Closing returns: closed loan files reviewed and organized, documents split, indexed, renamed, and uploaded within internal systems and lender portals, trailing documents and post-closing requirements tracked, files prepared for internal and investor audits, and investor conditions handled, with loans registered through MERS.
  • Stays with you: deciding how to respond when an investor condition raises a question about the loan itself.

Documentation matters here. ACES Quality Management reported that loan documentation defects rose to 8.55% in Q1 2026, up from 7.17%. ACES sells QC software, and its data comes from lender-selected audits.

What Do You See Along the Way?

Your Coach shares updates on your VA's progress and checks in with you regularly to gather your feedback, and your VA has direct access to our Coaching Team for real-time guidance. Our specialists are encouraged to ask you one question: how else can I help? Because the specialists are Philippines-based, handoffs cross time zones, so a written end-of-day list and an end-of-shift summary help. See Can a Filipino Virtual Assistant Work Your Time Zone?

How Do You Decide Where to Start?

Start where the file stalls most. Review a handful of recent loans, note where each waited longest, and see which stage repeats. Our guides to Where Do Your Loans Get Stuck? and How to Audit Your Mortgage Operations show how.
