What Is BrokerVA? Mortgage Operations Staffing Explained

What Is BrokerVA?

BrokerVA is a mortgage operations staffing company. Our 150+ operations specialists support brokers and lenders across the loan lifecycle, from setup and disclosures through closing, funding, and post-closing. Our goal is to lower your cost to originate. This page explains who we are, what we do, how onboarding works, and where to learn more.

What Does BrokerVA Do?

We provide mortgage operations specialists who help teams manage the critical functions of a loan, with accuracy, efficiency, and compliance at every stage. Our work is organized around five stage-based roles, each a specialist for one part of the file:

  • Setup: reviews loan applications and supporting documentation for completeness, registers loans through lender portals, runs AUS findings, and prepares initial Loan Estimates, fee worksheets, and disclosure packages.
  • Disclosure: manages Change of Circumstance requests and redisclosures, preparing and issuing revised Loan Estimates and Closing Disclosures within regulatory timelines.
  • Closing: balances Closing Disclosures with title companies, reviews tolerance cures, prepares final Closing Disclosures, and coordinates and schedules closings.
  • Funding: reviews finalized loan packages, prepares wire summaries, balances figures with title companies, submits documents to warehouse banks, and coordinates wire transfers.
  • Post-Closing: organizes closed loan files, tracks trailing documents, prepares files for internal and investor audits, and handles investor conditions and MERS registration.

Our core roles are just the beginning. We may be able to provide additional operational support positions tailored to your business.

Who Does BrokerVA Work With?

We support mortgage brokers, loan officers, and lenders. Brokers often start with the one stage that eats the most of their week. Lenders look at how each stage fits their pipeline and, for wholesale lenders, their broker network. BrokerVA has also partnered with Addy AI for LOA services.

How Does BrokerVA's Onboarding Work?

You are not handed a specialist and left to figure it out. Every client gets a dedicated Coach assigned to their team for a 6-week implementation period, to make the transition smooth and set both the team and the VA up for success. During that time, the Coach:

  • Learns your business processes, workflows, SOPs, and expectations, so the VA is aligned to your needs
  • Gives feedback and recommendations on processes, training, and efficiency
  • Monitors and shares updates on the VA's progress
  • Identifies and addresses potential challenges early
  • Recommends best practices from our experience
  • Keeps the VA aligned with your goals

After six weeks, support continues through an ongoing coaching system for both you and the VA. The VA has direct access to our Coaching Team for real-time guidance, and your Coach stays in touch through regular check-ins to gather feedback, discuss progress, and offer recommendations. We see ourselves as a long-term partner in your success.

How Does BrokerVA Pricing Work?

Pricing is customized to your volume and the roles you need, so there is no single rate card. Producing a loan is expensive for the industry as a whole. The Mortgage Bankers Association reported that production costs reached $11,898 per loan in Q1 2026, against an average of $7,903 since 2008. That is why our focus is on your cost to originate.

On a call, we'll walk through your numbers and show you our cost calculator live. We don't promise a specific saving, since it depends on your operation.

How Does BrokerVA Relate to Willow Processing and Addy AI?

Willow Processing is BrokerVA's parent organization. It brings experienced processing support with direct borrower communication and stateside coverage, which is a different offering from our stage-based operations roles. We have also partnered with Addy AI for LOA services.

What Makes BrokerVA's Approach Distinct?

Three things shape how we work. First, our specialists are organized by stage, so the person working your disclosures or your funding packages does that stage every day. Second, onboarding is coached, with a dedicated Coach who learns your processes before the work scales. Third, pricing is customized to your volume and roles, not a fixed rate card. All of it points at one goal: lowering your cost to originate. We'd rather show you how that works with your own numbers than ask you to take our word for it.

What Does a First Conversation Look Like?

It starts with where your files slow down. It helps to bring a rough monthly volume, the systems and lender portals you use, how your team is staffed today, and which stage costs you the most time. Approximate answers are enough. From there, we talk through which stage to start with, walk through your numbers, and show you our cost calculator live. There is no pressure to commit to a full team, and many teams begin with one stage.

What Should You Ask Before Choosing Any Provider?

Whether you choose BrokerVA or someone else, put the answers in writing and compare them side by side:

  • What tasks will the provider do, and which won't it?
  • How are the people supervised, and who is your point of contact?
  • What security documentation can you review?
  • How are errors corrected, and who bears the cost?
  • What onboarding and ongoing support are included?
