How BrokerVA Works: Coach-Led Onboarding and Ongoing Support

Working with BrokerVA starts with a call about your pipeline and your numbers. From there, every client gets a dedicated Coach for a 6-week implementation period, followed by ongoing coaching for you and your VA. This page explains each stage, so you know what to expect before you commit to anything.
How Does It Start?
It starts with a conversation. Tell us where your files slow down, how your team is staffed today, and which stage costs you the most time. We'll walk through your numbers and show you our cost calculator live, so you can see what support could mean for your cost to originate.
Pricing is customized to your volume and the roles you need, so there is no single rate card. We don't promise a specific saving, since it depends on your operation. See our pricing page for how it works.
What Happens in the First Six Weeks?
Every client gets a dedicated Coach assigned to their team for a 6-week implementation period. The purpose is to make the transition smooth and to set both your team and your VA up for success. During that time, your Coach:
- Learns your business. Your Coach learns your processes, workflows, SOPs, and expectations, so your VA is aligned to the way you work.
- Gives feedback and recommendations. That includes your processes, training, and efficiency.
- Monitors and shares progress. You receive updates on how your VA is doing.
- Catches challenges early. Your Coach identifies and addresses potential challenges before they grow.
- Brings best practices. Your Coach recommends approaches drawn from our experience.
- Keeps your VA aligned with your goals, and works toward meeting or exceeding your expectations.
The idea is simple: you are not handed a VA and left to figure it out.
What Support Continues After Six Weeks?
Support doesn't end when the implementation period does. It continues through an ongoing coaching system for both you and your VA.
- Your VA has direct access to our Coaching Team for real-time guidance, support, and answers, so they stay confident, productive, and aligned with your expectations.
- Your Coach checks in with you regularly to gather your feedback, discuss your VA's progress, and offer assistance or recommendations.
- We help your VA keep growing, performing, and adding value over time.
We see ourselves as a long-term partner in your success.
What Should You Bring to the First Call?
You don't need a polished plan. A few things make the conversation more useful:
- A rough monthly loan volume
- The systems and lender portals you work in
- How your team is staffed today
- Which stage of the file costs you the most time
- Any written processes or SOPs you already have, since they give your Coach a head start
Approximate answers are enough to start.
Why Is Onboarding Coached?
A capable VA still has to learn your processes, your systems, and your expectations. If nobody owns that transition, small confusions can turn into errors and lost momentum. A dedicated Coach gives the transition an owner. Your Coach learns how you work first, so your VA isn't trying to guess, and so questions and challenges surface early, while they are still easy to fix.
What Will You Notice Along the Way?
You'll have one person who knows your business and your VA's progress, and who shares updates with you. Your VA will have a place to turn for answers in real time. And after the first six weeks, you'll hear from your Coach through regular check-ins, so feedback has somewhere to go. If you'd like to compare this with how other providers handle onboarding, see our guide to the questions to ask any provider.
Which Roles Does This Cover?
The same process supports our five stage-based roles, Setup, Disclosure, Closing, Funding, and Post-Closing, across our 150+ mortgage operations specialists. Our core roles are just the beginning, and we may be able to provide additional operational support positions tailored to your business. See BrokerVA's Five-Role Model.
